- Quarantining means that the unwanted mail would end up in a rather large quaran�tined space. Suppose we only do this for malware as detected by an antivirus con�tent filter: viruses, worms, phishing. Can we alert the receiver for every quar�an�tined mail that was heading to their inbox? However, what happens if, unfortunately, the refused message is a legitimate mail? Let�s compare the three valid choices: quarantining, tagging or refusing the message.From its very beginnings, AXIGEN has integrated open-source filters such as SpamAssassin and ClamAV and has used the fastest way to process mails through them by interfacing with their daemons directly. But this usage scenario had a major downside: mail messa�ges were scanned in the queue, after having been accepted by the mail server. As a result, �Spam� folders had the tendency to grow indefinitely and waste space in the server storage and backup mediums.- Tagging, often applied to spam messages, means the message will usually end up in a sub-folder of the recipient�s mailbox, typically named �Spam�. He/she may or may not check that folder for false positives, but as no filter is perfect, sooner or later some legitimate mail will end up in �Spam�. When that happens, neither the sender, nor the recipient will be aware of it. If through some other means, one or both of them find out about the missing mail, the receiver will usually have to dig through its spam folder to find the legitimate mail. This may be quick if he/she knows the exact coordinates of that mail (sender, date, subject), or may be a daunting task if the �Spam� folder is rather large and the data is very vague (eg. "Should have received a mail from a South American company with some financial info").Let�s take a simple example, in which the decision to reject a mail was taken by the Milter filter by evaluating the results of the antivirus scanner. Why would this be a better choice than quarantining, for example, or tagging?Email is not what it was supposed to be. Its inventors have not foreseen the dan�gers associated with this new form of communication. Means of protection were added later on, but do little to protect people�s mailboxes. As a result, most of the mail traffic these days is unwanted: spam, malware, phishing. If you are submitting to thousands of safelists, you are sending your emails to hundreds of thousands or millions of people, which sounds very exciting. Safelists have been considered for several years now to be the best place for new marketers or "newbies" to start their business. But, do they really work? What is POP3?


POP3 stands for Post Office Protocol (version 3) and comprises of mailboxes for email systems so that a user can retrieve email from a central location where the email is stored. Depending on the type of hosting package preferred, most of the quality web-hosting providers offer their customers with POP3 accounts. With the POP3 accounts, users can have mailboxes on a server with their domain name. So if for example, you own a domain name (yourdomain.com); then you can receive and send emails through yourname@yourdomain.com. With POP3, users can access their mailboxes and download messages their computers in the most simple and standardized manner.

They may even follow you home or your place of work to gather additional information about you.� They have freely available implementations (including source) available.� They allow access to new mail from a variety of client platform types.Protecting Your Identity While there are no guarantees that your identity will never be stolen or compromised, there are several steps you can take to minimize the risks. Seven Steps to Safeguard your PBX System


If your company uses a PBX / Voice Messaging system then you are being targeted by Phreakers (Phone Hackers).


2.1 Vulnerability: Remote access allows vendors to access and perform maintenance or changes to your system remotely. The technician will connect via a modem to a system SDI (Serial Data Interface) port and log in to your system to perform the actions. This connection path may be exploited by phreakers.- A regular review of calls associated with the extension.So, here's 6 quick tips that I use to help me better manage my email:6.2 Protective Action 1: Avoid modem polls. Many companies use modem pools to reduce the total cost of analog card ports. Modem pools allow phreakers and hackers to dial in and peruse your system for vulnerabilities.Even after you have emptied your trash, Compressing Folders is a recommended step to prevent other data corruption. Once you understand that an email does not actually move from one folder to another until the folder is compressed, then you can better appreciate this advice.4. Be sure that your virus system, firewall system, junk mail systems are up-to-date. I use Norton for viruses and have it connected to my email system so that all incoming and outgoing messages are scanned for viruses. Norton prompts me to update it regularly. ZoneAlarm, my firewall system, www.zonealarm.com is up and running whenever I'm online to protect me from any type of intrusive attacks. Eudora has a built-in junk email detector system that works relatively well, but I'd prefer that most of my junkmail never even reach my email program. Consequently, I use SpamArrest, www.spamarrest.com, which runs $34.95/year. All of my email goes through SpamArrest before it's downloaded into Eudora, and I can approve or block certain senders as I see fit. I log in at the beginning of the day and the end of the day to see if something was labeled as spam and rescue it, and then proceed to delete all the spam. Of the 600 emails a day I receive, I would estimate that at least 400/day are due to spam. Thanks goodness for SpamArrest!7. Fraud Scams- Password protection.

When you no longer need an email, it should be deleted. When you first delete an email, your software will send the email to the Trash Bin. Phreakers use their social skills to convince employees to connect calls for them.Once you learn how to use your software to its full potential, then your life will be greatly simplified and your effectiveness will be dramatically improved.- Time of Day schedules for Call Forwarding (contact your vendor).OUTLOOK EXPRESS: Click on Edit - Empty 'Deleted Items' Folder. To compress the remaining folders, click on Tools - Options, then click on the tab for Maintenance. Then click the button that says, "Clean Up Now". Once the compression is completed, click OK.5.1 Vulnerability: The most likely problem you will encounter with authorization codes is employee sharing. The act of sharing authorization codes exposes your company to possible employee fraud. Phreakers are savvy and are likely to know the authorization code procedures used by your particular system.I cannot stress enough how important it is that you utilize the tools for emptying the trash and compressing the mail folders. Protecting your email data on a regular basis is good practice for avoiding disaster in your mailbox.NETSCAPE MAIL: Click on File - Empty Trash Folder. To compress the mailboxes, click on File - Compress Folders.When an email is moved from one folder to the other, only the header information is actually moved. The body information will not be deleted from the original folder until which time the original folder is compressed.5. Authorization Codes- Call Forwarding scams. Your employee is asked to forward calls as a test for a vendor.
- Call Back scams. Your employee is asked to dial a number as a test.
- Area Code scams. Your employee is informed to access an important message by dialing an 809 or 900 area code number. (Also known as the "Prize" scam).
- Modem Hijack scams. Your employee is informed to visit a link on the internet or asked to install a program. The program then runs in the background and dials numbers.6.2.2 Protective Action 3: Set the software associated with modems to not auto-answer. Many software programs or emulation programs have built in security features that prevent unauthorized access.6.2.1 Protective Action 2: Determine if a modem will have dial in and/or dial out capabilities. Most modems should be dial out only. To make a modem dial out only have your vendor program the extension as a non-Direct Inward Dial (DID). Modems that are Direct Inward Dial should adhere to the discipline discussed in Step 2.You are the best judge as to how to organize your email into topics that provide an easy method of retrieval of the information when you need it most.- Release company information (mailbox log in procedures, switch room and modem numbers).
- Connect to external numbers or transfer to external numbers.
- Dial a specific dial string or area code.Email filters are a tool to help you save time and frustration. Have you ever lost an incoming email under the deluge of email coming into your mailbox? With filters, you can direct the important email or not-so-important email into certain pre-ordained folders.As an example, when Email A comes into your main Inbox, the data connected to Email A appears in two files. One file contains the header and body of the email. The other file contains only the email header information.Related Websites:In order to get the most from your email software, there are three key processes that you should learn. These processes are concerned with data organization, saving time and email database management.2.2.1 Protective Action 2: Consider purchasing a modem with a CLID authentication feature. The authentication feature checks the number dialing in and if it doesn�t match the CLID authentication programming, the call is refused. Communicate with your vendor to determine what number they will be using. Perform an internet search for CLID Authentication modems or contact your vendor.2.2.2 Protective Action 3: You could place all of your modems in DND (Do Not Disturb). Calls made to the modem will be forwarded to your Attendants or a recorded announcement (RAN). Inform your vendor that they must call the attendant prior to dialing in so that the DND can be removed. They must also contact the attendant when they are done programming.Fortunately, the primary email browsers make it easy to organize your information. By allowing you to create folders within your email software, you can file specific emails into folders dedicated to the topic of the email.Don�t be fooled into thinking you need some special software to filter your email. Setting up filters is actually quite easy.I've found email to be both a blessing and a curse. I love the immediacy of the communication, but hate all of the spam and viruses that I have to be vigilant about.7.1 Vulnerability: Phreakers or scammers will use social skills to convince your employees to:EUDORA: Click on Mailbox - New --- or right click on Eudora in the folders window and then click on New. When the window opens, type in the name of your new mailbox and click OK. If you want to create a folder to place other mailboxes into, click the checkbox before clicking OK.6. Never put your email address on your website. Spammers buy robot or spider programs that scour websites for unecoded email addresses to add to their spam database. You can use a contact form where a visitor will have to input information and send the form data to you, or you can use an email address encoder program. I like to maintain the ability for my visitors to email me if they wish, so I use a program called Natata Anit-Spam Encoder, http://natata.hn3.net/antispam_encoder.htm. I encode all the email addresses on my websites and those of clients. The program is free of charge.EUDORA: Click on Special - Make Filter. Once again, just follow the instructions in the Filter wizard.- A regular review of where calls are being routed.5. If you're receiving emails via your domain name, like yourname@yourdomainname.com, and the email address is set up as a POP3 account, log into your web hosting account and be sure that you're set up only to receive emails at designated email addresses. Many times spammers will send emails out to postmaster@ or webmaster@ or info@, as these are pretty common email address aliases. If your hosting email account has an address that is set up to receive all the email to the bogus aliases (unrouted email) , you'll be getting lots of spam. Instead, log in to your hosting account and set your default email address to :blackhole: or to :fail: No Such User Here so that you'll only get the email at the addresses you've created.1.2.1 Protective Action 2: Change your passwords frequently, especially if your company has a high number of employee turnovers.3.2. Protective Action 1: Disallow auto-create mailboxes. This setting is usually enabled during installation to permit a quick setup. Keeping Your Email Box Organized & Ready for Business


Learning how to get the most organization from your email software is very likely the most important skill you can learn to conduct a successful online home business.


Generally, phreakers use auto dialers to scan numbers that answer with carrier signals. When a system answers, it is then compared to the known programming formats. Phreakers will also manually dial into your Voice Messaging system and attempt to breach your systems security features.There are three primary email applications on the market that folks use to manage their incoming POP3 email. Those three are:
  • Microsoft Outlook Express
  • Eudora
  • Netscape Mail
SET UP EMAIL FOLDERS2. Control your urge to check your email all of the time. I have my email program set to check email every 4 hours, which is twice a day for my workday, rather than having the program check it automatically during the day. I know that many of my clients will procrastinate on what they need to do by deciding to read their email rather than to do the pressing items on their to do lists. Limiting your ability to read your email will result in getting productivity--I guarantee it!1.1 Vulnerability: Some systems are installed with the default factory passwords still activated or unchanged. This is the most vulnerable setup. Phreakers know your PBX / Voice Messaging system factory passwords and will try that password once connected.6. Workstation/Internal modems3.2.3 Protective Action 4: Create and maintain an internal agreement with all Voice Messaging system users. At a minimum the agreement should cover:NETSCAPE MAIL: Click File - New Folder. Then from the drop-down menu, select the folder that you wish to be the folder directly above your new folder, before clicking OK.You can tame the email beast, but it'll take a little effort and energy and due diligence to make it all work. Implement these steps, and you'll stop dreading receiving email.To setup email filters:3.2.2 Protective Action 3: Mailbox passwords should be as long as possible and employees should be encouraged to use the longest password.Phreakers also recognize �signatures� of systems. When a phreaker dials in and listens to the Voice prompts and instructions of you voice mail system, he/she recognizes what system they are communicating with and use that information to hack into the system.OUTLOOK EXPRESS: Click on Tools - Message Rules - Mail. A wizard will open to help you create your new email filters. Just follow the instructions provided to direct mail based on certain criteria into certain folders.OUTLOOK EXPRESS: 1. Click File - Folders - New --- alternatively, you may also right click an item in the Folder window --- and then type in the name of your new folder. Highlight the folder above where you would like your new folder to be placed, and then click OK.5.2.1 Protective Action 2: Ensure that authorization code entry is blind or hidden when entered on display phones and that redial of authorization codes is blocked. You may need to contact your vendor to activate these features.Let me share one important lesson I l've learned about computer software. One should never be afraid to try new things. Learning how to get the most out of your software relies upon your willingness to dig in and learn how to use it.3.2.1 Protective Action 2: Pass-thru dialing allows mailbox owners to dial into a Voice Messaging system and dial a code for an outside line. Not only does this open your company to possible phreaker activity; it also exposes your company to employee fraud.6.1 Vulnerability: Workstation/Internal modems not only provide phreakers with access to system resources, it also exposes your data network to hackers, worms and viruses.Emptying your trash bin compresses the mailboxes from where the email was originally filed. This is absolutely paramount to the protection of your email data. If you go too long between compressing your email data, then your email data could become corrupted and you might need assistance in recovering your email data.4.2.1 Protective Action 2: In cases where it is imperative that an extension be allowed to perform external transfers or call forwarding, create an internal procedure that sets:FILTERING EMAIL3. Voice Messaging SystemsCopyright 2006 Donna GunterPhreakers take advantage of system interface vulnerabilities, known security (factory) passwords, and use social skills to obtain access to your system resources. Once a phreaker has successfully hacked into your PBX system, he/she may exchange the information with other phreakers, implement Call Back schemes, or place long distance calls that are billed to your company.1. The rule of handling email is the same as handling paper correspondence. Only handle it once. When you've read it, decide at that point to delete it, answer it, or file it for later action. Don't let you email inbox grow to 1000 or more messages--that becomes incredibly overwhelming and drains too much energy from you every day. I receive roughly about 600 pieces of email a day, so if I didn't do something to manage it properly, I'd be drowning in email.3. Set up filters (in Eudora) or rules (in Outlook) to automatically shuffle email into appropriate folders. I have numerous mailboxes set up in Eudora to house all of the posts of the discussion lists I belong to or newsletters I receive or daily correspondence that I get from clients. In many cases, I have sub-mailboxes set up under my primary mailboxes to further categorize the email that I receive. I've set these mailboxes up over time, and in many cases at the point where the email arrives in my inbox. It may take you 30 or so days to set up filters or rules for your email, but the effort will be very worthwhile. Now, when I check email, the mailboxes containing new mail appear across the bottom of my screen, so I can quickly eyeball them and figure out what on which emails immediate action is needed.2.2 Protective Action 1: Implement the protective actions in Step 1.7.2.1 Protective Action 2: Educate your employees on existing scams and how to identify possible scams. Existing/common scams:As part of the war against spam, most ISP's use filters every day in an attempt to keep the spam out of your mailbox. In fact, I even use filters to sort my incoming mail trying to catch the spam my ISP missed.You�ll never stop the attempts by phreakers to access your system, nor can you easily identify access attempts, but you can take steps to safeguard your PBX / Voice Messaging system.4.2. Protective Action 1: In most cases External transfer and/or Call forwarding isn�t needed. Many employees like to Call Forward calls to cell phones when out of the office � this is counter productive to your Voice Messaging system. Instead, instruct employees to allow calls to be routed to their mailbox and to check their mailboxes regularly when away from the office.1. Factory Passwords

Once you learn how to use your software to its full potential, then your life will be greatly simplified and your effectiveness will be dramatically improved.
